Executive Assistant

Purpose:

Fully supports and enhances executives’ success and effectiveness by providing information management support and representing the executive.

Responsibilities:

  • Maintains information by transcribing, formatting, and editing text and data.
  • Conserves executive’s time by reading, researching, and corresponding to inbound communication; drafting e-mails and documents; collecting and analyzing information; initiating meetings.
  • Maintains executive’s calendar and appointment schedule by planning and scheduling meetings, conferences and travel.
  • Represents the executive by attending meetings and speaking on his or her behalf.
  • Welcomes guests and customers both in person and on the phone, and responds to incoming inquiries.
  • Maintains customer confidence and keeps information confidential.
  • Completes projects by assigning tasks to the internal clerical staff, manages the process, and follows up on results.
  • Prepares reports and analyzes data.
  • Maintains office supply inventory by determining inventory level, anticipates needed supplies, places orders and verifies receipts.
  • Contributes to overall team effort by accomplishing requested results.
